Meadow Mountain Lodge booking terms and conditions

Please note, these terms and conditions are currently under review. We are still taking bookings and in the current circumstances your booking will only be confirmed after the owner of the lodge has discussed your booking with you directly.


  • “Booking” means the period for which you have paid to stay at the Property. “Property” means 125 Pestells Lane, Meroo Meadow, NSW, Australia and all its fixtures, fittings and equipment. “Management” means the owners and managers of the Property."Guests" means the persons who stay overnight in the Property during the Booking. "Visitor" means a person a Guest permits to visit the Property during the Booking.


  • Payment of the Deposit constitutes acceptance of these Terms and Conditions.


  • Check-in time is not before 3pm on the arrival date and check out time is not later than 10am on the departure date.
  • Late departure is subject only to prior written arrangement with Management and availability. Extra charges will apply if house not vacated for cleaners to access immediately when they arrive.
  • You must notify Management of expected arrival time and a mobile contact number at least 7 days before arrival.
  • Check-in/check-out and key collection/return procedure will be communicated to you 1 week before arrival after $895.00 bond is paid.


  • A deposit of 40% (minimum), must be received within 1 day after the provisional booking is taken by Management. Payment in full of the 60% balance must be received no later than 3 months prior to your arrival or if provisional booking made within 3 months of arrival then full payment is due immediately. Bookings are not confirmed unless and until this deposit, or full payment as the case may be, is received and until all required personal identification is provided and these terms and conditions are ticked “AGREED” below.
  • Payments of the amount due must be received in Australian dollars, net of any bank or other transaction charges.
  • Please ensure payments are made within the specified time limits or the booking will be cancelled automatically without notice or liability to you.
  • We accept payment by the following methods: Direct deposit into our bank account or PayPal. Payment payments incur a surcharge of 2.5% to cover transaction costs.
  • Our bank details will be advised to you in a tax invoice.
  • Cheques of any kind are not accepted.


  • If you are considering cancelling your booking you are required to call us first on 0416 212 021, during Sydney business hours, to discuss the matter. No refunds will be honored if you do not call us.
  • Any valid cancellation must also be notified by email to ua.mo1659924656c.egd1659924656olnia1659924656tnuom1659924656wodae1659924656m@ofn1659924656i1659924656. No refunds will be honored if you do not email us also.
  • Your deposit is non-refundable in the event of a cancellation within 12 months of your stay.
  • After a cancellation any time within 12 months of your stay - if we cannot rent out the dates of your booking you will be liable to us for the remaining 60% of your booking fee and our costs and administration charges of recovering this 60% to compensate our loss for taking the Lodge off the market for your booking and denying other bookings in favour of yours.


  • A bond payment of $895 is required one week before your booking (NOTE only paid into our PayPal bond account via the Tariff page of our website; do not pay into our bank account) and no entry to our property is allowed if this is unpaid and your stay while at the house can be immediately terminated if not paid. It will be refunded to payees PayPal account once our property has been inspected before the arrival of the next guests after your booking and deemed left in a similar state to your arrival. We agree to ensure bond return occurs within 10 working days of your departure less any deductions as per this clause. However, any damage, loss or expense incurred by Management as a result of your breach of these Terms & Conditions will be charged against the bond. Examples of this include but are not limited to any breakage, damage or excess cleaning requirements, extra guests beyond those declared.
  • Any damage loss or expense incurred by Management as a result of your breach of these Terms & Conditions which exceeds that held in the bond will be owing to management along with costs of recovery and administration charges will be claimed. Examples include but are not limited to any breakage, damage or excess cleaning requirements, extra Guests or Visitors beyond those declared.


  • Please read our open fireplace and fire-burner instructions displayed at the house before starting a fire
  • Fire burner must only be used with door completely closed and sealed
  • Open fireplace must only be used with grate in front and do not go to bed or leave the property with fire still going
  • Please take extra care as fires can start very easily.


  • Guests remain responsible for all persons attending, no disturbance of neighbours, no undue noise, no behaviour likely to cause damage to property or offence or embarrassment to others, all noise to cease by 10pm. • Breach of this condition may result in immediate termination and eviction without refund and extra charges may be incurred for security, cleaning, garbage removal, abnormal wear and tear, repairs etc.


  • We can supply linen /towels all made up (except for top bunks linen is in hallway cupboard) for an extra $195.00 paid into our bank account. If you require linen we must have minimum 2 weeks’ notice before your stay.

10. PETS

  • Pets are not allowed at the Property under any circumstances.


  • You must comply with all applicable “booking conditions” from Management and the caretakers of the Property concerning occupancy, property, health, safety and quiet enjoyment of the Property and our neighbours.
  • You are responsible for damage, breakages, theft and loss of the Property and any part of it during your stay. You must notify us of this immediately. Management may recover from your repair or replacement cost (at Management's discretion)
  • Only the guests nominated and agreed in the booking may stay in the property over night. If any other guests stay extra charges may apply or the agreement may be terminated without refund.
  • Disturbance to our neighbours, including excessive noise, is prohibited and may result in termination and eviction without refund and extra charges may be made for security and other expenses.
  • Before departure, all food must be removed from fridges, all rubbish put in the appropriate council rubbish bins provided, and crockery and cutlery washed and packed away. The Property must be left in a clean and tidy condition.
  • Extra cleaning charges may be incurred for the cleaning of dirty dishes, washing machine, dishwasher, emptying the fridge, removal of excessive rubbish etc. Should the cleaning fee be more than the usual cost for cleaning the property, you will be charged the additional costs over and above the normal cleaning fee which will be deducted from the security bond.
  • All furniture and furnishings must be left in the position they were in when you arrived and charges will be applied for placing furniture back into is original positions if not left there upon departure.
  • The property should be vacated on time and secured. All windows and doors are to be locked. All keys must be returned to Management or as otherwise directed.
  • You are responsible for the safekeeping and replacement of accommodation keys.
  • Smoking is not permitted in the Property.


  • In the case of any problem or complaint, you must inform Management at the earliest opportunity so Management has the chance to rectify the situation as quickly and efficiently as possible. You must allow repair/service access to the property during reasonable hours.
  • Any complaint, which cannot be resolved locally, must be notified in writing to Management prior to departure from the property.
  • Failure to follow this procedure this may hinder the ability of Management to rectify the problem or complaint and reduce or extinguish any claim you may have.

  • A gem for families! It was FABULOUS! The kids were so amused with the tennis court, spa, riding bikes, etc, we barely left the property! When we did, it was only a short drive to the beach or to the most beautiful town – Berry. The property is spacious inside with a fabulous kitchen and all the cooking utensils you need. We had a wonderful time and enjoyed using the fireplace at night. The kids collected fresh eggs every morning and enjoyed watching cows and horses roam around the properties nearby. A great getaway for families or small groups.

  • We enjoyed the week here to relax and plan the future of our firm. A beautiful environment. Excellent corporate getaway, will tell other firms. We all could finally think clearly and calmly and feel less stressed, thanks.

  • The house worked very well with our group and the grounds were superb for the kids. The 3 year olds spent most of the time in the cubby and sand pit, and the older ones spent their time on adventures and bikes. And on Playstation 2! Great collection of videos, DVDs, games and toys.

  • Everything was perfect and the Lodge is such an enjoyable place to be. We all loved everything and wanted to stay another week to relax in the beautiful surroundings. Thank you for providing such a delightful place to spend with family. And thank you for the chocolates, wine and champagne that was waiting for us!

  • What a wonderful weekend we had. The accommodation was first class with everything possible in place for a very relaxing and productive staff retreat. The various spaces in the lodge meant the nine of us could spread out and enjoy. We will certainly be rebooking for our next retreat.
